SHAMROCKS GOVERNANCE POLICY

8 March 2006

 

Section I        

            St. Pat’s Shamrocks is a social and service Club, established for seniors age 50 and over, with no particular limitations as far as residence or religious preference is concerned.  The Club is affiliated with St. Patrich Church in Wadsworth, Illinois, and is subject to the authority of the Pastor, yet operates pretty much independently according to the governance policy below.  Currently, the Club meets monthly, except January, July and August, in the St. Patrick Boehm Center.  Club meetings and activities are coordinated, when necessary, with the general activity calendar of St. Patrick Church.        

Section II

            The St. Pat’s Shamrocks Steering Committee is directly or indirectly responsible for all Shamrocks activities.  The Committee consists of three “ex officio” members and four “at-large” members.  The “ex officio” members are the President, Treasurer, and Secretary/Contactor. The “at-large” members represent one each group of members, as follows: (a) age 50 to age 64 members: (b) age 65 members and over: (c) married members; and (d) not married members.   Each Steering Committee member is in office for a minimum of two years, and can succeed themselves in the same or different positions of the Steering Committee.          

Section III

            Duties of each member of the Steering Committee include, but are not limited to, the following job descriptions:

 

President:        -conducts monthly Club meetings  him/herself or by proxy

-prepares the agenda for each meeting

-receives and announces all Club meeting entertainment and Club special events

-seeks approval of Club members  for each meeting’s entertainment and special events by seeking and appointing a volunteer coordinator: No Coordinator, No Event” is the rule

-conducts any other business that may come up

-an “ex officio” member of the Steering Committee, but with no voting rights except to break a deadlock  

 

Treasurer:        -accurately records all Club monies received and dispersed

                        -all monies for any Club event are paid to the treasurer and deposited with the treasurer

                        -dispenses any monies requested for Club events with the approval of the President   

                        -makes at least two reports annually to the Club at regular Club meetings

                        -develops an annual budget with the President’s input and approval

                        -an “ex officio” Steering Club member with full voting rights, if necessary

 

Secretary/Contactor  -receives from Steering Committee members and other Club members ideas for monthly meeting entertainment and Club special events

                                    -records these ideas for future reference

                                    -presents these ideas to the President to announce at monthly meetings

                                    -responsible for “meeting-reminder” callers; i.e. that there are always a minimum of eight callers available, and to suggest information to be given when these monthly reminder calls are made to Club members

                                    -an ex-officio Steering Committee member with voting rights, ifnecessary

 

 

Members-At-Large:   -represent on the Steering Committee any unique needs/concerns of the Club segment they represent

                                     -an active Steering Club member with voting rights, if necessary

 

“Adjunct Members”:      - includes the “Refreshment Coordinator”, the “50/50” Coordinator, and the “Corresponding Secretary

                                      - are welcome to take part in Steering Committee Meetings to voice their ideas and concerns and take part in the discussions.  Like the President,  they do not vote           

 

Section IV

            Responsibilities of Steering Committee Members

                        -discuss all possible and available Club meeting entertainment and all possible and available Club events, as reported by the secretary/contactor or other Committee members

                        -meet In January & July or August

                        -responsible for appointing replacements on the Steering Committee when necessary

                        -acts as a “nomination committee” when election of Steering Committee officers takes place in May 

 

Section V

            For entertainment at any meeting, and for any trip event, a coordinator must be assigned in due time before the meeting entertainment or special event (usually trips) can be approved by the Club membership.  The coordinator NEED NOT BE the member who proposed the meeting entertainment or special event.
